An entire firm rebuilt: client portal, case files that keep themselves up to date and AI checks on the work, with the handling lawyer remaining ultimately responsible.

The question

What it was about

A legal practice runs on case files, deadlines and communication. If those three live in different systems, nothing breaks, but time leaks away constantly: searching for the latest version, clients calling for an update, deadlines someone monitors by hand.

The brief was not to bolt AI on somewhere, but to set the firm up so the work itself takes fewer steps, without shifting professional responsibility.

What we built

The parts

Client portal

Clients see the status of their case, documents and appointments, and can securely upload files. That saves phone calls and email exchanges.

Case files that keep themselves up to date

Progress, deadlines and actions are tracked in the case file itself, with alerts before a deadline expires instead of after.

AI checks on the work

AI reads along and flags what is missing or inconsistent. The advice stays with the handling lawyer; the AI suggests and explains why.

Internal assistant for the team

Staff can ask questions about their own case files and knowledge, instead of interrupting colleagues or searching themselves.

Approach

How we did it

  1. Spent a day observing at the office and followed the real route of a case file, from first contact to closing.
  2. Started where the manual work and the risk were greatest: deadlines and communication with the client.
  3. Set up every AI step so a person has the final say and the reasoning is visible.
  4. Rolled out in short steps, with the people who use it involved, instead of one big go-live.

What it delivers

  • Clients see for themselves where their case stands, which removes a large share of the status questions.
