Pasting names, quotes, and contract details into an AI chat may seem harmless, but it can move data outside your control and run afoul of the GDPR. A few simple agreements can help an SME avoid this risk without giving up the convenience of AI.

Why this matters

Many business owners paste customer names, email addresses, or quote amounts into an AI chat without a second thought, just to quickly check or summarize a piece of text. But with free or standard AI tools, that information can be used to train the model, or it may end up outside your own control. Once it's sent, you can't take it back — with possible consequences for customer trust and GDPR compliance.

How to handle it

  • Anonymize before you paste. Replace real names with "Customer A" and amounts with "€X." The AI works just as well, and no traceable information leaves the building.
  • Use a business version with a data processing agreement. A team or enterprise account often ensures that data isn't used to train the model.
  • Make it a team agreement. One clear rule in your AI policy — "never paste customer data, always anonymize" — prevents most mishaps.
  • Check existing habits. This week, ask colleagues which AI tools they use and whether any customer data has already been pasted into them.

This adjustment costs next to nothing, but it prevents a data breach that could prove costly — in money, time, and customer trust. That way, you can reap the benefits of AI without taking unnecessary risks.
