Regular customers and repeat orders: the pattern behind the manual work
With changing customers and one-off jobs, every order is slightly different, and automation is harder. In the Groene Hart we more often see the opposite: a fixed customer base ordering much the same thing on a regular rhythm. That is a pattern, and a pattern can be automated. It rarely happens, though, because the manual work is spread across the day in three-minute pieces. Twenty orders a day, three minutes each, and a full day a week goes into retyping.
At family businesses there is something else: the knowledge sits with people who have been there a long time. The inside sales colleague who knows which price agreement applies to every customer and which non-standard packaging goes with it. That works beautifully, until that person is on holiday or retires. Automating is then also writing down what currently exists nowhere.
What we tackle first here
We start with one process that comes back every week and where a mistake is visible and repairable. Not with invoicing or with the time registration your payroll depends on — that is not where you want to pay for your learning curve. These four come up most often as a first project in and around Gouda:
- Reading incoming orders automatically: an email or PDF from a regular customer is recognised, matched to the right customer and products, and set up as a draft. A person only looks at the exceptions.
- Comparing delivery notes, order confirmations and purchase invoices against what was ordered and delivered, so only the differences land on someone’s desk.

It is further away than most of the places we serve, and we are not going to hide that. Outside rush hour it is about fifty minutes: onto the A1 towards Utrecht, then west via the A27 and the A12. During the peak, the stretch around Utrecht is a known bottleneck, so we prefer to schedule sessions between nine and four.
That distance has one practical consequence: dropping by for half an hour is not on the cards. If we come over, we make a block of it that is worth the trip. For short reviews during the build we use a video call — that is no different with clients closer by. What we do not do is assess a process remotely that we have never seen; the core session happens on site.

What it costs
Our rates are the same everywhere and do not change per town or per client. What does vary is the number of hours, which is why we do not quote a fixed project price before we have watched the work. A price given before the shop floor always contains a margin for the unknown, and you are the one paying for it.

- Building is charged per hour: €110 for straightforward work, €165 for complex development. You pay monthly in advance from a budget you set yourself, so there is no open-ended commitment.
- Travel costs: €0.45 per kilometre from Bussum, usually €55 to €70 for a return trip to Gouda.
- On top of that come running costs once something is live: what the AI models and connected services cost per month. Those scale with your volume; we work them out with you in advance.
Where it goes wrong
Four things keep going wrong. None of them has anything to do with AI.
- No owner inside the company. Everyone finds it interesting, nobody is accountable. The project does not die, it just disappears behind the daily rush.
- The exception becomes the rule. With regular customers there are always side agreements: the buyer using their own product codes, the other one with a delivery schedule of their own. Skip those up front and the process turns out not to fit half your orders.
- Data that does not add up. The same customer entered twice, three part numbers for one product, price agreements in a loose file. Cleaning that up is dull preparatory work that often fills most of the first weeks.
- A software vendor keeping the integration closed. Some sector packages in wholesale, transport and agricultural supply have no open API, or only release one on a more expensive plan. We check this before we build.
How to start, and what you need on your side
